Documents for the Arrima portal
The portal asks for information first and documents later, and the gap between those two moments is where money is lost. Translating a full document set at the profile stage is the single most avoidable expense in a Québec file.

Arrima is the province's online portal for its economic immigration route. The point most worth understanding about it is structural rather than technical: there is a moment when you declare information, and a later moment when you prove it. People spend money at the first moment that only becomes useful at the second.
Two moments, not one
At the first stage a candidate records a profile: identity, studies, work history, language ability, family situation. It is a declaration. At the later stage, if the file is taken forward, the province asks for the documents that support what was declared, and those are the ones that must be complete, current and translated to the provincial standard.
The exact sequence, and what triggers the second stage, are set by the ministry and are revised from time to time. Take them from its own current publication rather than from a forum, and note the date you read them.
Why translating at the profile stage costs money
Three separate reasons, and any one of them is enough:
- The file may not reach the document stage at all, in which case the translations were never needed.
- Short-lived documents expire while waiting. A criminal record certificate or a bank letter obtained early has to be obtained again, and the translation with it.
- You may translate the wrong things. The list requested at the document stage is not always the list you assumed, and documents translated speculatively are frequently not among them.
The reasonable approach is to have the documents in hand and the translation ordered when the request arrives. Which is which is set out on the document timing page.
What is worth preparing early anyway
Documents that do not age and that take time to obtain from Türkiye are the ones to start on now:
- Diplomas and transcripts, in the form the receiving body will accept — see the sealed transcript page.
- Employer letters, especially from employers you left years ago or that no longer exist. The work experience page explains what the letter must contain.
- The social security service record, which consolidates your registered employment history.
- Civil status records for you and any accompanying family members.
Obtaining these is a Turkish-side job that runs on Turkish timescales, and it is the part that cannot be compressed once a deadline is running.
What the profile stage does need from you
Accuracy. Declared dates of employment, job titles, institution names and study dates should match the documents you will later produce, because the documents are read against the declaration. A tidied job title or a rounded employment date at the profile stage becomes a discrepancy at the document stage, and discrepancies attract questions that cost more than they save.
Uploading: format and arrangement
When documents are requested, each one goes in with its translation immediately behind it, one document per upload, named so that an officer knows what it is without opening it. Merged files bury documents in a slot that only counts once. Scans must be in colour, flat, complete on both sides and legible at small sizes, because a mark that is invisible on the screen is treated as absent. How your file must be arranged and the scanning page cover both in detail.
The translation standard that applies here
These documents are read by a provincial officer, so the provincial rule governs, and it is set out on the Québec translation rule page. Plan for it from the start: the translation is arranged where the file is read, while the documents have to come out of Türkiye, and those are two different jobs.
What we do from Ankara
We obtain the Turkish documents under a power of attorney — registry extracts, service records, transcripts sent out by the university, court decisions, criminal record certificates — arrange the apostille where a receiving body asks for one, and courier the wet-signed set with a complete colour scan of every side. Done in the waiting period rather than in the deadline, it stops being the urgent part of your file.
Order of steps
-
Separate declaring from proving
Write two lists: what you declare in the profile, and what you will have to produce as evidence. The second list is the one with Turkish lead times attached to it.
-
Obtain the long-lived documents now
Diplomas, transcripts, employer letters and civil status records do not expire and take time to retrieve. Getting them out of the way removes most of the pressure later.
-
Leave short-lived documents until requested
Criminal record certificates and bank letters have a limited useful life. Obtaining them early usually means obtaining them twice.
-
Order the translation when the list arrives
Translate against the actual request, to the standard the receiving body states, and not before. Speculative translation is the most common wasted expense in these files.
Frequently asked questions
The profile stage is a declaration, and there is no credit for volunteering documents into a system that is not asking for them. Accuracy in what you declare is what carries weight; unrequested attachments generally do not.
The social security service record covers registered employment periods independently of whether the employer still exists, and it is often the strongest document for older jobs. Payslips, contracts and tax records support it. Start with the service record.
Systems normally allow updates, and keeping the profile current matters because the documents are read against it. What you should not do is adjust the declaration to match a document you have not yet seen; obtain the document first, then record what it actually says.
It depends on which documents and which provinces they come from, and we give a date range in the written quotation rather than a general figure here. What is safe to say is that retrieval, not translation, is normally the longest step.
